What is my correct mailing address?

Every resident follows the same addressing format.,

When you receive your mailing address, it will indicate a box number, however, DO NOT use the word box in the addressing.  For example, Box 42 Cody Hall would be 42 Cody Hall.

When will mail be in my mailbox?

Mail usually arrives on campus between 10:30 a.m. and 11:00 a.m. We make every effort to distribute the mail as quickly and accurately as possible however the time the mail is distributed into your mailbox will vary depending on the volume of mail received that day. We will make every effort to have mail in your mailbox by 3:00 p.m.

How long will it take for my mail or package to arrive at NWC?

Mail arrival at NWC will depend on where the letter or package has been mailed from and they type of service used to mail it.  We will contact you by email when a package for you has arrived.

I am online with the USPS and my tracking number says that the mail has been delivered. Do you know where it is?

Usually the term delivered means the mail has been received at the local USPS facility, however, it does not mean it has arrived on campus. Those pieces typically arrive at NWC 24 to 48 hours later.

Where can I send mail or packages?

You can bring any outgoing mail or packages to Mail Services located in Room 118 of the .

You can purchase postage and pay to have any parcels sent through the USPS, UPS or Fed-Ex.  Payment is required at the time of purchase.

Please contact Mail Services about international parcels prior to bringing them to Mail Services.

Will you forward my mail?

The United States Postal Service currently does not offer Forwarding Service for students who have been living in college housing. The Postal Service has determined that it is the responsibility of the institution to forward mail and not that of the Postal Service.  With that in mind, completing a change of address form with the USPS will not result in your mail being forwarded from your college address to your new address

Upon completion of the forwarding form to be completed prior to check-out, 皇家华人 will forward your mail for a short amount of time, however, we will only forward First Class mail (letters, bills, bank statements, etc.) for one semester and periodicals for 90 days after the student leaves 皇家华人.  Standard Mail (credit card offers, Best Buy Flyers, etc.) will be destroyed.

Unless prior arrangements have been made, and payment for forwarding a UPS or Fed-Ex parcel has been received, those parcels will be returned to Sender. United States Postal Service parcels can be forwarded to your new address, however, there may be a charge to you, which you will be required to pay upon receipt at the United States Postal Service.

It is up to the student to contact mailers (for example friends, family, any magazine where you have subscriptions, banks, credit card companies, etc.) with your new address.

When is mail delivered to the post office?

Mail is taken to the post office at 10:00 a.m. on Monday through Friday and again at 3:00p.m. on Friday’s and the day before a college closure for a holiday or break.

When should I have my outgoing mail to Mail Services?

Winter Hours

8:00 a.m. - 5:00 p.m. Monday through Friday with the exception of holidays and college breaks.

United States Postal Service — Mail brought to Mail Services prior to 9:45 a.m. will go out the same day. Any mail received after that time will be postmarked for the following business day, with the exception of Friday mail or days prior to a holiday on college break. Any mail received prior to 2:45 will be delivered to the Post Office the same day. Any mail received after 3:00 p.m. will be postmarked for the following business day.

Summer Hours

8:00 a.m. - 5:00 p.m. Monday through Thursday and 8:00 a.m. - 12:00 p.m. on Fridays, with the exception of holidays and college breaks.

United States Postal Service — Mail brought to Mail Services prior to 9:45 a.m. will go out the same day. United Parcel Service — Any items that are to be shipped UPS must be to Mail Services prior to 2:00 p.m. to allow time for processing. Outgoing UPS IS NOT processed on Fridays.

Should envelopes be sealed before bringing them to Mail Services?

Mail Services can seal most letter size envelopes with standard flaps, however, squared or very long flaps typically so not seal properly.  In those cases, please seal those envelopes prior to bringing them to Mail Services.

Flat or manila size envelopes can be sealed at Mail Services on a case by case basis depending on if the contents fit properly. If they are too thick or bulky, the envelope will need to be sealed prior to bringing to Mail Services.

Does the mailcode for my department have to be on each envelope?

Mailcodes are typically printed on your envelopes at Printing Services. If you are using manila envelopes, a bundle of envelopes or have a whole box of envelopes, please write your mailcode on a note and place it on the front envelope. If you do not know your mailcode, you can either contact Mail Services or ask the administrative assistant in your area.

My department has envelopes which say that postage is paid. Can I use them?

No, those envelopes can only be used for bulk mailings (over 200 pieces of an identical mail piece, processed through our bulk mail software and sent at standard/bulk mailing pricing). If you do attempt to use one of these envelopes, it will be returned to NWC to have postage applied and it will delay delivery to the intended recipient. However, you may use these envelopes for regular fist class mail by covering the postage paid indicia with a white label.

What are the different classifications of mail?

First Class Mail – Any piece of mail weighing up to 13 ounces or less may be sent First Class.

Priority Mail – All first class mail weighing more than 13 ounces and not exceeding 70 pounds is considered priority mail.

You may also send mail pieces weighing less than 13 ounces as Priority mail, however, it is a higher cost than First Class mail. In addition, you can use a Flat Rate priority envelope or box that allows you to send something anywhere in the country for one price as opposed to a pricing based on weight and destination. The cost for this service varies between the use of an envelope, a medium Flat rate box and a large Flat rate box. The use of Priority Mail is generally, when a shorter delivery time frame is needed.  Priority Mail is generally a 2-3-day service from our location.

Parcel Post – The following items may be sent via Parcel Post: packages, merchandise, library materials, bound printed matter, sound recordings, video tapes or discs, computer media, books, and films. Each piece may not exceed 70 pounds in weight and a maximum size of 108 inches in length and girth combined. Rates are based on weight, distance, and shape.

Media Mail - Media Mail may be used to mail books, sound recordings, recorded video tapes or discs, printed music, and recorded computer-readable media (such as CDs, DVDs, and diskettes). Media Mail cannot contain personal correspondence or advertising, and carries a maximum weight limit of 70 pounds.

What type of envelope should I be using?

Please use the size of envelopes that best fits the contents. For use in the United States Postal System there are basically two categories of envelopes: letter size and “flats,” as referred to by the USPS.

Letter-Size Envelope — Rectangular in shape with a: height between 3 ½” and 6 1/8”; length between 5” and 11 ½”; thickness between .007” and ¼”. These envelopes are best used for only a few sheets of paper. If you attempt to put too many sheets of paper in an envelope and cause the envelope to exceed ¾”, the envelope will be charged as a parcel.

Flats-Size or Large Envelope — Large envelopes that exceed any one of the maximum dimensions of a letter are called “flats.” or “Large envelopes” The maximum size of a large envelope is 12” high, by 15” long by ¾” thick. Mail pieces that exceed the maximum dimensions for a large envelope will be charged as a parcel.

*Note* Regardless of the type of mail piece, if there is more than a ¼” difference in the uniform thickness or the mail piece is rigid, it will be charged as a parcel.

What is a Standard Mailing (Bulk Mailing)?

Standard mail (Bulk mail) is mail that is not required to be mailed at First Class mail rate or is not a Periodical. You must have at least 200 mail pieces or 50 pounds and can have very limited personal information. 

Can I send my mail piece at Standard rates?

Some examples of the types of pieces we send are Scholarship Day information, Art Gallery Openings, Alumni Newsletter, etc.  If you have something that you would like to be sent at Standard mail rates, please contact Mail Services prior to having the piece printed to determine if it is qualified. You can also speak with Printing Services during the design process and let them know you wish to send them at bulk rate.  We work closely together to make certain that you have an outstanding mail piece that meets postal requirements.

How do I send a Standard Mailing?

After determining that your mail piece qualifies to be mailed at the Standard rate, please bring Mail Services a sample of your mail piece (10 pieces will be required if it is a postcard, folded self-mailer or a letter) and email us your database to process through our Bulk Mailer software.  Once we have received all necessary information and samples your mailing will be processed and labels will either be sent to your office printer or will be printed in Mail Services and placed in your mailbox. How long will it take to have my Standard Mailing processed?

Processing time will be dependent on the workload in Mail Services. We do understand that you need your mailing completed as quickly as possible, however, Mail Services has several functions. When preparing your mailing, please make certain to plan accordingly and allow extra time for the processing. Although we make every attempt to have a quick turnaround on your mailing, it may take a couple of days to process your mailing and print your labels. Mailings will be processed in the order in which they are received. PLEASE DO NOT EXPECT YOUR MAILING TO BE PROCESSED ON THE SAME DAY IT WAS SUBMITTED TO MAILING SERVICES!
